Why your admission rate problem isn't a competition problem.
What we covered
- What actually happens after a referral clears your intake process
- Why every indicator can look healthy while real problems hide in the detail
- How spreadsheet tracking and EMR limitations quietly cap admissions
- Where intake bottlenecks and missing physician docs cost you SOCs
- Why some markets - including single-agency counties - break the standard playbook
Part 1 was one agency. Part 2 is what happened when we ran the same playbook across multiple markets.
Same root cause, every time: if you can't see your referral-to-admission process in real time, you can't fix what's slipping through it. The leaks look different from the outside - one agency was bleeding patients to a competitor with a faster intake nurse, another was sitting on faxes for 48 hours because nobody owned the inbox, a third had a beautiful CRM that nobody used because it didn't talk to their EMR.
But the diagnosis was the same. Nobody had a real-time view of where each referral was in the funnel, who owned the next action, or how long it had been sitting. Without that view, the team can only react to what already broke. With it, they can prevent the break.
The fix isn't a CRM. The fix is operational clarity. The CRM is just the surface where that clarity becomes visible to the people who need it: the intake coordinator at 7am, the BD rep in the field, the administrator in the Monday meeting.
If your dashboard says you're fine but something feels off upstream, that hunch is usually worth a conversation.
The fix isn't a CRM. The fix is operational clarity. The CRM is just the surface where that clarity becomes visible.
